Executive Assistant / Facilities Coordinator

Job Summary:

  • Responsible for providing primary administrative support to CIO Chief Information Officer (CIO), including handling of confidential and proprietary information.  Duties include meeting minutes, appointments, correspondence and reports, mail, maintain records and other administrative tasks as assigned.  Additionally, position supports other management staff as needed.
  • Responsible for coordination of facility maintenance items as well as security in conjunction with CIO.

Essential Functions (This list may not include all of the duties assigned):

  • Provide administrative and confidential support for the CIO and other management staff as needed.
  • Documenting standard operating procedures, preparing reports, compiling data for analysis, coordinating activities, investigating, and resolving problems.
  • Provide backup administrative support as needed to other executives.
  • Coordinate efforts with other administrative support personnel, including coordination of time off to maintain adequate office coverage.
  • Oversight of office supplies and inventory.
  • Assist with facilities management.
  • Responsible for coordination of safety inspections (fire, elevator, etc.), janitorial functions and other building maintenance requirements, including key control and alarm system access.
  • Operational administrative support for senior management and team members.
  • Effective oral and written communication skills.
  • Backup for absences of other assistants as needed.
  • Ability to resolve complex issues.
  • Anticipates and plans for changes in operating conditions and business needs.
  • Receive and screen office visitors and phone calls.
  • Receive and distribute mail, lockbox bags and deliveries.
  • Process refund and accounts payable checks for mailing.
  • Maintain strictest confidentiality at all times.
  • Promote a positive work environment by collaboration and positive attitude.
  • Develops periodic communications to staff on behalf of the CIO for new developments and important information.
  • Keeps CIO apprised of any potential issues or concerns.

Education and Experience:

  • Associates Degree in Business Administration.
  • Bachelor’s Degree preferred.
  • Formal or previous successful experience in business administration; ability to perform general office procedures; computer literacy with the ability to use Windows, word processing, spreadsheet programs and strong PowerPoint skills; the ability to type 50 – 60 wpm, use a 10-key calculator, and to transcribe.
  • Prefer one-year experience in a health care facility or related organization.

Starting pay range -$23-27/hour

Not a remote position. In office presence required.
